Administrative Assistant

Manages all office administrative activities, assists in facility management, and may supervise office personnel and the transportation of Team Members.
 

Essential Responsibilities/Job Duties

  • Schedule and organize complex activities such as meetings, travel, and department activities for all members of the team and clients assigned to region caseload. Type and design general correspondences, memos, charts, tables, graphs, reports, etc. Input data, answer phone calls and act as receptionist.
  • Assist Human Resources with hiring, on-boarding, file administration, payroll data entry, benefits enrollment etc. and Accounting with invoicing, monthly parent pay, petty cash fund and expense reporting for staff.
  • Prepare reports & any other required confidential documents for supported departments, including but not limited to health and welfare program reports, regional staff notes, personnel files, coordinating background checks and fingerprinting foster parents as required by state regulations, setting up new parents for parent pay, etc.
  • Work independently at the request of the regional director or regional offices, which may include: disseminating information, resolving accounting discrepancies, ensuring compliance with state contracts and licensure requirements, etc.
  • Responsible for preventing client abuse by adhering to all policies and procedures, attending periodic training, reporting suspicious and inappropriate behavior, following mandatory abuse reporting requirements, and ensuring clients are properly signed in and out, and only authorized adults are on premises.
  • Orders and maintains necessary office supplies, materials and equipment.

  • Other duties as assigned. 
 
Qualifications
  • High school diploma or equivalent
  • One or more years of experience or training in an administrative role or equivalent combination of education and experience.
  • Must be experienced in working with all levels of the organization
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint)
  • Valid driver’s license and proof of automobile insurance.
